Privacy Policy for TradLinker, TradAssist, and TradCoord

This Policy explains how the Discord bots TradLinker, TradAssist, and TradCoord, collectively referred to as the “Services,” process the personal data needed for their operation.

1. Data controller

The Services are published and operated by:

TLK Forge is responsible for processing required to operate and secure the Services and, for TradLinker and TradAssist, to manage billing. Discord server administrators remain responsible for the channels, roles, settings, and content they choose to make available to the Services or publish on their server.

2. Data processed

Common data

Depending on the features used, the Services may process Discord identifiers for users, servers, channels, messages, and roles; usernames, avatars, languages, permissions, and interactions with commands, buttons, menus, forms, or reactions; and support requests and technical information required for security or diagnostics.

TradLinker

TradLinker may process:

  • messages, replies, mentions, edits, deletions, reactions, embeds, stickers, and attachments posted in connected channels;
  • group, channel, language, webhook, and server-limit settings, together with mappings between original messages and their translated copies;
  • poll questions, choices, images, dates, and votes, including participant identifiers and usernames;
  • server Premium status and, for a subscription, Discord, customer, and subscription identifiers, payment status, and order information received from the payment provider;
  • for a voluntary contribution, the Discord identifier, amount, currency, and date.

TradAssist

TradAssist may process:

  • text, messages, replies, embeds, stickers, links, and attachments selected or supplied for translation or publication;
  • multilingual posts, configured emojis, and deletion delays;
  • monthly counters required to apply free quotas;
  • the Premium status of a server or Platinum status of a user and, for a subscription, Discord, customer, and subscription identifiers, payment status, and order information received from the payment provider.

TradCoord

TradCoord may process:

  • roles, permissions, and events relating to a member joining or being updated;
  • server settings, including configured groups, languages, roles, channels, and enabled features;
  • the identifier of the administrator who initiated certain operations and their date;
  • welcome or coordination messages supplied by administrators;
  • when enabled, the mention, identifier, and date of rule acceptance published in a channel selected by the administrator;
  • the server identifier and Premium status, without receiving banking data or customer or subscription identifiers from the payment provider.

TradCoord does not create a complete permanent member list or monitor member conversations. Member information is primarily used in memory while the bot is operating.

TradLinker and TradAssist do not receive card numbers or banking details, which are handled directly by the payment provider.

Data required for a feature must be supplied in order to use it. Otherwise, the relevant Service may be unable to perform the requested command, translation, relay, vote, configuration, or subscription operation.

3. Purposes and legal bases

Data is processed to:

  • provide requested translations, relays, polls, publications, interactions, and settings, apply usage limits, and verify access levels, on the basis of performing the Terms of Service;
  • manage TradLinker or TradAssist subscriptions, contributions, payments, cancellations, and supporting records, on the basis of contract performance and TLK Forge's legal obligations;
  • operate roles, reactions, webhooks, and other server-configured features, on the basis of the legitimate interest in providing the expected Service;
  • secure the Services, prevent abuse, and resolve incidents, on the basis of TLK Forge's legitimate interests;
  • respond to support requests and data-rights requests, on the basis of legitimate interests or compliance with a legal obligation.

The Services do not sell data, use it for advertising, profiling, or artificial-intelligence training, or make decisions producing legal effects based on automated profiling.

4. Sources and recipients

Data comes from Discord, administrators and users, the payment provider, and, for technical data, the hosting infrastructure. Premium status used by TradCoord comes from TradLinker or TradAssist.

Data is accessible, only where necessary, to:

  • TLK Forge for operation, support, billing, and security;
  • Discord, which hosts accounts, servers, channels, interactions, messages, and content;
  • the machine-translation provider to which content processed by TradLinker or TradAssist is transmitted;
  • the payment provider for checkout and the management of subscriptions or contributions;
  • members of destination or connected channels where content, a username, an avatar, a result, or a log is published;
  • users viewing detailed poll results and, where contribution announcements are enabled, authorised members of the relevant channel;
  • providers responsible for hosting, infrastructure, and private backups;
  • authorised public authorities where required by law.

5. International transfers

Discord or certain providers may process data outside the European Economic Area. Where required by the GDPR, these transfers are covered by an adequacy decision, the EU-US Data Privacy Framework, standard contractual clauses, or another recognised safeguard. Further information may be requested from TLK Forge.

6. Retention

TradLinker

  • Member information cached in memory is kept while the configured server is active and is purged when no longer needed.
  • Message mappings are kept for approximately 24 hours. Where reactions are involved, the relevant data may be kept for up to 7 days.
  • Temporarily downloaded attachments are deleted at the end of the relay operation. Inactive webhook identifiers and secrets are purged after approximately 24 hours.
  • Polls are kept for their duration and for up to 24 hours after closure before stored polls and votes are deleted.
  • Settings are kept while the server uses TradLinker and are deleted when no longer needed.

TradAssist

  • Content and attachments submitted for translation are kept in memory only for the command or interactive session and no later than the Service's next restart. Channel translation sessions expire after approximately five minutes of inactivity.
  • Translations triggered by reactions are automatically deleted after the configured delay of between 5 and 300 seconds.
  • Counters, settings, access statuses, and related identifiers are kept for as long as needed for the feature, quota enforcement, abuse prevention, or dispute resolution.

TradCoord

  • Member information held in memory is kept for the session needed to operate the bot.
  • Temporary security and rate-limit identifiers are deleted after the operation and no later than approximately one hour after their last use.
  • Settings and related identifiers are kept while the server uses TradCoord and has the required access. They may be deleted when Premium ends, when free access closes, or upon request.

Common periods

  • Temporary payment-redirect links expire after approximately twenty minutes and can be used only once.
  • Technical subscription references are kept for the subscription term and then for the time needed to handle a dispute. Accounting records and payment or contribution data are kept for up to ten years where required by law.
  • Technical logs controlled by TLK Forge are kept for no more than 30 days during normal operation. Information required to investigate an incident may be kept for up to 12 months.
  • Support requests are kept for up to 12 months after closure unless a legal obligation or dispute requires otherwise.
  • Content, translations, polls, messages, or logs published on Discord remain subject to the choices of users or administrators and Discord's retention periods.
  • Earlier versions may temporarily remain in restricted private backups. Following an erasure request, they are no longer used and are deleted or made inaccessible as soon as technically practicable.

7. Security

TLK Forge applies reasonable measures, including access restrictions, secret protection, encrypted communications, private backups, and controls intended to prevent accidental or abusive actions. No system can guarantee absolute security.

8. Your rights

Under the GDPR, you may request access, rectification, erasure, restriction, or portability of your data and may object to processing based on legitimate interests.

To exercise your rights, contact tradsphere@gmail.com or the support server. Your Discord identifier and, where necessary, the identifier of the relevant server may be requested in order to locate data without disclosing a third party's information. TLK Forge normally responds within one month.

You may also lodge a complaint with the CNIL.

9. Minors

The Services are restricted to persons who meet the minimum age set by Discord and the law applicable in their country.

10. Changes and contact

This Policy may be updated to reflect changes to the Services, providers, or applicable law. The current version is the one bearing the latest date.
